- Who (Recorders name)
- What (Scientific or common name of species)
- When (date and time)
- Where (6 figure grid reference or 10 figure if you have GPS)

County Recorders
Besides national and local organisations most biodiversity information is held by enthusiastic amateurs who are known as recorders. Anyone can become an observer or a recorder of biodiversity information.
In each county there is usually an expert known as a County recorder. County recorders dedicate a lot of their free time to building and maintaining a database of records on their particular group of expertise for their county. County Recorders verfiy records sent to them by recorders. All recorders should send their records to the relevant county recorder on a regular basis.
Only records verified by a county recorder are included in the WWBIC database.
